Privacy Policy

Who this applies to
KiloFlow is an internal time-tracking and payroll application operated by Kilo Content for use by its employees and authorized contractors. This policy covers personal data processed through the app. We do not collect data from members of the public.
What we collect
- Identity: name, work email address, mobile phone number (if you opt in to SMS sign-in).
- Authentication: one-time codes sent to your email or phone for sign-in, and session cookies stored on your device.
- Time entries: dates worked, clients/projects logged against, hours, and notes you enter.
- Compensation data: rate tier, rate type assignments, payroll-period approvals.
- System logs: request timestamps and IP addresses retained for security and debugging, automatically deleted after 30 days.
How we use it
- To authenticate you and keep your session secure.
- To produce internal payroll and client invoicing reports for Kilo Content's operations.
- To send transactional sign-in codes via email or, with your consent, SMS. Message and data rates may apply.
We do not use your data for marketing or analytics, and we do not sell or share it with third parties for marketing.
SMS messaging program
By providing your mobile phone number during account setup and checking the SMS consent box, you expressly consent to receive transactional one-time login codes from KiloFlow via SMS. We do not send marketing or promotional SMS messages — only login codes, when requested by you at sign-in.
- Message frequency: varies — typically one message per sign-in, only when you request a code.
- Message and data rates may applyper your carrier's plan. Kilo Content does not charge for these messages.
- Opt out: reply STOP to any login code message at any time. Replying STOP cancels the SMS channel; you can keep using KiloFlow via email login codes with no interruption.

- Carriers:supported on the major US carriers (AT&T, Verizon, T-Mobile, and resellers).
- No third-party sharing: phone numbers and SMS consent data are never sold, shared, or transferred to third parties or affiliates for marketing purposes.
Who processes your data
We use the following sub-processors strictly to operate the app:
- Supabase (United States) — database, auth, email delivery
- Vercel (United States) — application hosting
- Twilio (United States) — SMS sign-in code delivery (only if you opt in)
Your choices
- You can sign out at any time, which clears your session on the device you used.
- You can ask Kilo Content to update or delete your account by emailing digital@kilocontent.com. Time-entry records may be retained for tax and payroll compliance for up to seven years.
- You can stop SMS sign-in codes at any time by replying STOP to any code message, or by emailing the address above to switch back to email-only sign-in.
